This Privacy and Cookie Policy for Planned Giving Marketing (“we,” “us,” or “our”) describes how and why we collect, store, use, and/or share (“process”) your personal information when you visit a website we operate on behalf of one of our nonprofit clients (each, a “Client Organization”) or submit an inquiry through our services (“Services”), including our use of cookies and similar tracking technologies. The Client Organization determines why we collect information through the inquiry form and how that information will ultimately be used to respond to you and manage its relationship with you; we process this information on the Client Organization’s behalf for that purpose. For our own website operations — including our use of Google Analytics, our form-processing tools, and our security and retention practices — we make independent decisions about how information is processed. These Services are directed to individuals located in the United States. We do not intend to offer our Services to, or knowingly collect personal information from, individuals located outside the United States. By visiting our website, you consent to the collection and use of your personal information as described in this Policy.
We collect personal information that you voluntarily provide to us when you submit an inquiry through our website. The personal information we collect may include:
Our inquiry form includes an open message field. We ask that you NOT include sensitive information in this field, such as health or medical information, Social Security or other government identification numbers, financial account details, or information about racial or ethnic origin, religious beliefs, or sexual orientation. If you choose to voluntarily include this type of information, we limit internal access to it and rely on encryption in transit and at rest in both our form platform (Jotform) and our email platform, sharing it only with the Client Organization, subject to confidentiality obligations, to respond to your inquiry.
Because your response to the planned giving status question may reveal whether you have already made an estate planning commitment, we apply the same access controls and confidentiality protections described above to that response, and share it only with the Client Organization to support your relationship with them.

We process the information you submit on behalf of the Client Organization so that it can respond to your inquiry and communicate with you about its services. We also process information for our own security and fraud prevention purposes and to comply with law. Along with sharing your inquiries with the Client Organization, we may share your data with third-party vendors, service providers, contractors, or agents who perform services for us or on our behalf. This includes:
All third-party service providers are contractually required to maintain appropriate data protection and security standards when processing personal information on our behalf. Other than with the Client Organization and the service providers described above, we do not sell, rent, trade, or share your personal information with any other marketing partners or third parties.
We use Google Analytics, a web analytics service, together with Google Tag Manager, which we use to deploy and manage tracking tags on our website. Google Analytics uses first-party cookies (small text files placed on your device) to collect information such as the pages you view, how long you stay, your scroll activity, links you click, files you download, and whether you interact with forms on the site.
The web address of each page you visit is also collected, including any personalized tracking identifier it may contain — for example, from a mailed or emailed campaign. While this identifier could technically be used to associate Analytics activity with a specific individual, we do not use Google Analytics data to identify individual visitors in our reporting or otherwise.
Separately from Google Analytics, our website sets its own first-party cookies to recognize returning visitors and track the number of visits. These cookies remain on your device for approximately 30 years (until 2056), unless deleted.
Google’s standard account-level data-sharing settings — which allow Google to use aggregated data for product improvement, industry benchmarking, and technical support — are currently enabled for our account. We do not link our Google Analytics account to Google Ads, and Google Signals — which would otherwise associate Analytics data with signed-in Google account information for cross-device tracking and advertising purposes — is not enabled for our account. As a result, we do not use data from our Analytics properties for advertising purposes, and our account settings disable ads personalization and cross-device advertising features. Google’s standard terms note that it may still use anonymized and aggregated data from Analytics properties, including ours, to inform its own conversion and behavioral modeling — this is a baseline function of the Analytics service that account-level settings do not disable. The Google Analytics (_ga) cookie is set to expire after 2 years. Some browsers independently limit how long cookies are actually stored regardless of this setting — for example, Safari may retain cookies for as little as seven days, while Chrome and similar browsers may retain them for up to approximately 400 days. You can control or opt out of Google Analytics tracking at any time by: (1) adjusting your browser settings to block or delete cookies; (2) installing the Google Analytics Opt-out Browser Add-on (opens in a new window). Blocking cookies may affect the functionality of some parts of our website.
We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Policy unless a longer retention period is required or permitted by law (such as tax or accounting requirements). Data submitted through our inquiry form, including the copy stored in Jotform and the email notification retained in our internal mailbox, is deleted once our engagement with the Client Organization ends. The Client Organization may retain its own copy of your information independently of us, subject to its own retention practices. Cookie data collected through Google Analytics is retained as described in “Cookies and Tracking Technologies” above. Data collected through Google Analytics is retained in our Analytics account for 14 months from collection, after which it is automatically deleted.
We maintain a formal incident response plan. In the event of a confirmed security incident affecting personal information, we will notify affected individuals and our Client Organizations promptly in accordance with applicable legal and contractual obligations.
We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. We use strong encryption protocols to protect personal information both in transit (using TLS/HTTPS) and at rest across our systems and third-party platforms. There are access controls, periodic security assessments and protocols that protect the information that you provide. However, despite our safeguards, no electronic transmission over the internet can be guaranteed to be 100% secure.
We do not knowingly collect data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18. If we learn that we have collected personal information from a child under 18, we will delete that information as quickly as possible. Because the Client Organization may maintain its own copy of your information in its own records or systems, we may not be able to act on your request with respect to that copy.
